SLCR - Savedlist Creation

Use the SLCR screen when you have a select statement that you type at the colon prompt on a recurring basis.  Once you have a Savedlist specification created for that definition, you can call up the savedlist specification repeatedly in the SLCR screen.  When you save out of the screen, the select runs and the savedlist is updated with the current records. This article explains how to create or use a Savedlist specification in Colleague.

 Instructions

Give your Savedlist Specification a name when you create it at the lookup prompt.  

  • The name should be unique from other savedlist specifications, and easy to find.
  • The name you give to the savedlist specification will be the default name of the savedlist that it will create.   The savedlist name can be changed when you run the specification using the SLCR screen.
  • If the savedlist specification is only for your own use, start the name with your initials (KJK.PERSON.SAMPLE.LIST)
  • If the savedlist specification is for general use by your office, start the name with your office identifier (ITS.PERSON.SAMPLE.LIST)
  • Click OK when you have entered the name

Enter or Edit your select statement

If this is a new savedlist definition, then detail into the top line of the Select Statement to Execute window to enter the select statement.  You can also edit the existing select statement when you run an existing savedlist definition.

Type or copy and paste your select statement into the resulting edit box.  You can also edit the select statement in this edit box.  Click on the Save button when you are done.

The savedlist name defaults to the name you gave your savedlist specification.  You can edit the savedlist name if necessary.  For example, add the date to the end of the name each time you run the savedlist specification to keep a point-in-time historical record of the savedlists.  Note: The savedlist name can have no spaces.

Review Results of the Select Statement

If you enter Yes in the Review Results of the Select Statement field, then when you save out of the SLCR screen, the select statement will be executed, and you will enter the SLED screen, where you can view and edit the contents of the savedlist.  The top of the screen displays the record count, which can help identify unexpected results.

Finish

Save out of the SLED screen and out of the SLCR screen to complete the action.  You now have freshly selected records in your savedlist, using the select statement that you entered in the savedlist specification.

If you are using a previously created savedlist specification, you will receive a warning that the savedlist will be overwritten.  Answer "Y" to the warning because you DO want the savedlist to be overwritten with the freshly selected records.

Additional Functionality

You can design your savedlist specification to select from a group of records you already have in a savedlist instead of from the entire file in your specification by entering the savedlist name in the "Savedlist to Limit Results To" field  and entering "Y" in the "Activate Savedlist Before Select" field

In this example, I have limited my results to 10 records selected from a savedlist of PERSON records called KJK.SAMPLE.GROUP.  That means that the 10 records end up in KJK.PERSON.SAMPLE.LIST  will be selected from the 470 records in the savedlist KJK.SAMPLE.GROUP, not from the entire PERSON file.  You can detail into the "Savedlist to Limit Results To" after you enter the savedlist name to view the records in the savedlist you are limiting your results to.
